ToggleEffective and timely communication is the key to building a satisfied customer base. And your CRM can be a great enabler in this respect. From invoices and receipts to progress reports and cancellations, eBuildAuto Real Estate CRM Software is purpose-built to streamline and simplify your workflows and keep you connected with your customers.
1. Progress Reports
All customers expect construction to progress as per promised schedules. Sometimes, there are delays that can’t be helped, for instance, material shortages or manpower problems, or even a major act of nature like the Covid-19 pandemic and attendant lockdowns.
In these instances, building and sustaining a dependable line of communication is a great confidence booster.
In addition to a verbal description of site progress, eBuildAuto allows you to attach actual images of the site work so that customers can see the work progress for themselves. In addition to this, the CRM also allows users to attach the architect’s certificate attesting to the work progress.
Thanks to eBuildAuto’s API integration with the most popular communication channels, including SMS, WhatsApp, and email, all communication can happen instantly and can be configured to provide proof of receipt.
2. Demand Letter
In legacy systems, the generation of demand letters is a cumbersome task involving calculating parameters like dues for the current stage of work, previous balances, if any, interest due, GST, and all the other attendant charges. The demand letter feature can also be configured to automatically include a pre-decided grace period, and adjust the payment date accordingly,
eBuildAuto – realtors crm software makes the entire process a simple and straightforward one, with automated computations that calculate and generate final demand letters with the correct amounts and at the rate of up to 100 letters a minute.

3. Reminder 1
Sometimes payments are delayed. In such instances, it is imperative to dispatch timely reminders, which also revise the demand letter to include interest calculation if applicable. eBuildAuto does this automatically at pre-configured intervals.
In addition, the revised communication can also be set up to use modified tonality—expressing urgency, for instance. Reminder letters can be pre-configured to automatically adjust time periods for grace periods as per the client’s agreement with his customers. (i.e. pay before the stipulated date…in case of reminders the grace period will be eliminated and payment to be made immediately.)
To eliminate any ambiguity, reminders also reference the earlier communication, for instance, Reminder 1 will reference the initial Demand letter.
4. Reminder 2
In the event of further delay, eBuildAuto can be configured to generate a revised balance which includes interest calculation, supported by the mention of the interest clause in the agreement. If required, depending on the developer’s financial setup, the letter can also specify discrete bank details where the interest must be deposited.
Finally, the tonality of the communication can also be modified—for instance using harsher language—to convey the criticality of the situation. As in all communications related to the Demand process, each reminder resets the grace period as zero, requests immediate payment and references the earlier communique, as well.
5. Reminder 3
Usually, a second reminder is sufficient to induce the client to remit the due demand amount. But sometimes there can be a further delay, perhaps an adverse financial situation or personal circumstances.
In such cases, eBuildAuto real estate crm software can be set up to generate a third reminder that includes all the details as the second reminder, i.e. balance with interest & penalty calculation, optional interest bank (where the interest amount is to be deposited), and warning of possible cancellation.
6. Intimation of Cancellation
When all else fails, and the demand amount is still not forthcoming, the developer may have no option but to move to cancel the booking. When this happens, eBuildAuto the real estate CRM can be programmed to generate and dispatch an intimation of cancellation, with details of the process.
There are legal ramifications here that need to be factored in, as well. But eBuildAuto can do it all, allowing the user to issue and send a legal notice of cancellation of the sale agreement. This is a formal intimation to the buyer informing them of the seller’s intention to cancel the sale agreement.
7. Notice of Cancellation
The final stage—and one that no party, builder, or customer—wants to experience is actual cancellation. This is a regrettable action, but one that may be necessary. As in the earlier stage, this is a legal process that needs to be followed to avoid fallout.
